What is Microsoft Teams Phone? 

  • Microsoft Teams Phone is a cloud-based telephony solution that integrates calling, meetings, and messaging into a single platform, allowing for seamless communication and collaboration. 

Why are we migrating to Microsoft Teams Phone? 

  • The migration aims to enhance our communication capabilities, improve collaboration, offer advanced calling features, and increase flexibility by enabling communication from any device, anywhere. 

When will the migration take place? 

  • The migration is tentatively scheduled for late October.  Exact details will be shared when the day and time is finalized. 

Migration Process 

How will the migration affect my work? 

  • The migration is designed to be as seamless as possible, with minimal disruption to your daily tasks. You may experience brief periods of downtime or limited access during the transition. 

What should I do if I encounter issues during the migration?

Training and Support 

Will there be training provided for Microsoft Teams Phone? 

  • Yes, training sessions are scheduled to help you become familiar with the new system. More details to come when the date and times are finalized. 

What resources are available to help me learn how to use Microsoft Teams Phone? 

  • Instructed led training, ClipTraining portal, user guides, video tutorials, and FAQs, will be provided. 

How can I get additional support if I have questions or problems after the migration?

Features and Functionality 

What new features does Microsoft Teams Phone offer? 

  • Some of the key features include voicemail transcription, call queues, auto-attendants, integration with Outlook, and the ability to make and receive calls from any device. 

How do I make a call using Microsoft Teams Phone? 

  • You can make calls directly from the Teams application on your desktop or mobile device.  

How do I check my voicemail? 

  • Voicemails can be accessed through the Teams application. Transcriptions and audio recordings of voicemails will be available in your voicemail tab. 

Technical Details 

What devices are compatible with Microsoft Teams Phone? 

  • Microsoft Teams Business Phone is compatible with a wide range of devices, including PCs, Macs, Android, and iOS devices.  

Do I need any special equipment to use Microsoft Teams Phone? 

  • No special equipment is required. However, using a headset with a microphone can improve call quality. 

Will my phone number change after the migration? 

  • No, your phone number will remain the same. The migration will not affect your existing contact details. 

In the Case of Emergencies 

What happens to the telephones in case of an emergency? 

  • Similar to the ShoreTel phone system currently in place at the City, the telephones require power to function. The advantage of the new Teams phone system is that you will be able to answer calls on mobile devices via the Teams app. 

Security and Privacy 

Is Microsoft Teams Phone secure? 

  • Yes, Microsoft Teams Business Voice employs robust security measures, including encryption and compliance with industry standards, to ensure the privacy and security of your communications. 

How is my data protected in Microsoft Teams Phone? 

  • Microsoft Teams Business Voice adheres to strict data protection and privacy policies. 

Can I turn off calls to my mobile phone? 

  • You can control settings in the Teams app to set quiet hours, do not disturb, and other settings to control how and when you receive calls on your device.
